Medical Scribe use at Prosper

Here at Prosper, we utilise technology to help us do our jobs better and more efficiently. Why? So, we can spend more time helping you and less time on administration.

 

How does it work?

We use a scribe softwares such as Heidi and Novonote. These tools assists your therapist by generating notes and documenting the discussion in your medical record, allowing your therapist to focus more on you than on taking notes. This technology is designed to accurately capture health information, ensuring a comprehensive and precise record of your care. Medical Scribes also assist in writing letters and reports more quickly from the notes they created.

 All notes are reviewed for accuracy by your therapist before they are saved into your medical record.

 

How long will my appointment information be stored?

Your conversation is live-streamed and transcribed, meaning that no audio recording of your conversation is ever stored unless your therapist specifically opts-in. If your therapist chooses to opt-in then all information is deidentified so it can no longer be traced back to any individual or appointment. Once your therapist has completed their notes from your appointment visit, your medical record will still be stored in our practice management software (Halaxy).

 All transcripts are deleted from the medical scribe software after 30 days if not before.

 

Do I have to give consent?

Consent is an important aspect of all health care interactions. We seek your cosnent prior to using this technology. While you can withdraw your consent at any time, we recommend you notify your therapist prior to the appointment commencing if you don’t want them to use a medical scribe.

How is my privacy maintained?

All data is handled in accordance with applicable laws and regulations governing data privacy and confidentiality, including compliance with Australian Privacy Principles (APPs).


Medical Scribes operate in real-time, transcribing our conversation to create a detailed consult summary. 

As a result, they don’t store your medical recordings or confidential patient information. All patient information is de-identified and anonymized to ensure additional security of data held.

 All data collected a Medical Scribe during your therapy sessions will be treated with the utmost confidentiality and will only be used for the purposes of enhancing your therapeutic experience. Your personal information will not be disclosed to any third parties without your explicit consent, except where required by law or professional ethics.

While all technology contains some risk of failure, the medical scribes we choose to use at the practice have put protections and safeguards in place to ensure that your data is safe, and your privacy maintained. These safeguards include:

  • Regular compliance audits and software updates to ensure their systems are always up to date
  • Anonymization and de-identification techniques so your data is secure and unidentifiable
  • Data Encryption and Access Controls so no unauthorized people can access your data

 

Where is my data stored?

All data is encrypted in transit and at rest and stored securely and confidentially on servers in Australia. Further information can be gained from individual providers’ websites
